Job Description

The Sales is accountable for providing essential support to the Sales and Training Team, Business Development Executives (BDEs), and Business Development Partners (BDPs). This role encompasses key responsibilities in Sales Administration, facilitating the sales cycle for RIB Software Solutions.

The primary objective of this position is to assist all sales departments in achieving their respective goals. The Sales Administrator will be instrumental in supporting the Sales Department by executing various administrative functions, including the capture and maintenance of data across multiple platforms. Active participation in the planning and execution of administrative activities is a crucial aspect of this role. The Sales Administrator is expected to provide valuable feedback and insights to relevant supporting functions.

Key Responsibilities

  • Capture, maintain, and update client records and data in Salesforce.
  • Input documents into Salesforce, including, but not limited to, signed proposals, proof of payments, master data templates, tax certificates, and company registration documents.
  • Manage the entire administration function from receiving client documentation to creating accounts, assigning tasks to internal stakeholders, and overseeing key dependencies until software licenses are set, or training attendees are signed in on the training day.
  • Assign daily inquiries and task various internal stakeholders with the next steps, ensuring continuous client engagement and feedback.
  • Send proposals to Sales Consultants and BDPs when necessary.
  • Load proposals into Adobe Sign.
  • Salesforce Lead qualification and conversion into accounts and contacts based on lead verification, calls and emails.
  • Scheduling and booking of overview or technical meeting and assigning them to BDE/BDM
  • Ensure that all overdue tasks are up to date on Salesforce.
  • Generate Salesforce reports for the Accounts Department and assist with audits.
  • Handle incoming training calls from potential clients and reach out to web inquiries to provide assistance.
  • Aid clients in making training bookings both online and over the phone.
  • Send training proposals to clients when requested with follow up on approval.

Dynamic Support: Embracing an Assisting Role Where Needed

  • New Clients Onboarding: Open accounts and update Sales Force.
  • Existing Clients: Update accounts and update Salesforce.
  • Financial Management: Liaise with the Accounts Department regarding new accounts, outstanding accounts, and received payments.
  • Licence Management: Coordinate with the Licensing Department for Licence activations, cancellations, transfers, and additional licences.
  • Client Communication: Send welcome emails to new clients via Sales Force email templates.
  • Licence Assistance: Assist with setting up Temporary, Trial, and Demo Licenses as required.
  • Inquiry Handling: Manage all external, internal, and general inquiries received in the Sales Inbox.
  • Sales Inbox Maintenance: Maintain the Sales Inbox, tracking all emails and clearing old emails.
  • Assisting with any additional projects/tasks, etc. not limited to existing daily duties.

Requirements

  • Bachelor’s degree in business administration, Sales, Marketing, or a related field, or equivalent practical experience in sales administration.
  • Minimum of 2-3 years of experience in a sales support, sales coordination, or administrative role, ideally within a technology, software, or B2B environment.
  • Proficiency in Salesforce CRM (or similar CRM systems) with experience in data entry, management, and report generation.
  • Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced capabilities in Excel for report generation and data analysis.
  • Fluency in both Arabic and English (written and spoken) is essential for effective client communication and internal collaboration.
